This August, join us for a welcoming summer fair celebrating makers and traders from communities along the Heart of Wales Line, from Shrewsbury to Swansea. We’re inviting traders to be part of this vibrant event—showcase your unique crafts, gifts, and local produce, and connect with visitors from across the region. Taking place on Saturday 8th August, 10am–4pm, inside the beautiful St Mary’s Church, Shrewsbury, this historic 12th-century landmark—renowned for its stunning stained glass and impressive architecture—offers a truly unique setting. Located in the heart of Shrewsbury’s busy shopping quarter, the event benefits from excellent footfall and a central, well-loved venue. Free for the public to attend, it promises a great day out for all ages and a fantastic opportunity for traders to promote and sell their products. This event is part of the Make and Trade Project, delivered by the Heart of Wales Line Community Rail Partnership, supporting local businesses and bringing communities together along the line. The event is being professionally managed by Chantilly Grey, on behalf of the partnership and supporting organisations.

THESE TERMS AND CONDITIONS APPLY TO ALL OF OUR EVENTS. YOU MUST READ, UNDERSTAND AND ACCEPT THEM ALL. WHEN SUBMITTING A BOOKING FORM YOU ARE AGREEING TO ABIDE BY THEM, WITHOUT EXCEPTION.

EVENT VIABILITY & CONFIRMATION OF SPACE In order for these future events to be viable, a minimum number of traders are required to attend. Once this minimum number has been reached, an invoice will be issued along with an acceptance email. This acceptance email confirms that a trader’s space is provisional only. A trader’s space will only be confirmed once full payment has been received upon receipt of the invoice. No reminders for payment will be sent.
BOOKING AND PAYMENT Booking applications can only be made via our website. Please complete all the relevant fields, paying particular attention to our Terms and Conditions. You must read and accept these before we can process your application. Successful applicants will be notified via email once the minimum number of traders has been reached and must make payment in full upon receipt of the invoice to secure their booking. There are no exceptions. Payment must be made via bank transfer or direct debit. Payment details will be included on your invoice. We do not accept cash or payment by cheque. The cost of a stall space varies depending on the event type and the location. You will find the cost for each event on the associated booking form on the website. There is an additional charge for table hire if you are not providing your own and if electricity is required and access is available, there will also be a fee.
DIRECT DEBIT PAYMENTS - (IF APPLYING FOR MULTIPLE EVENTS) For all events, where payment is made by direct debit, full payment must be received no later than 30 days before the date of each event. A monthly direct debit payment option may be available. Please enquire for details. If a trader chooses to cancel their booking before full payment has been made, no refunds will be given, regardless of the payment plan selected. Failure to complete payment by the required deadline will result in the cancellation of the booking and release of the stall space.
ACCEPTANCE OF APPLICATION AND CONDITIONS FOR STALL SPACE The Event Organiser shall have the discretion to accept or refuse any application without being required to give an explanation. Successful applicants will be notified promptly and in good time via email. The stall holder is responsible for booking adequate stand space for their entire display, including access. A pitch space measures 6ft unless otherwise stated. A floor plan will be available on the day of the event, and someone will be on hand to show you to your space.
STAND ALLOCATION Requests for stands in specific positions will be considered sympathetically but no such request should be deemed as being binding on the organiser. Stand allocations will be made taking into account the nature of product, type of demonstration and the general layout. Stalls cannot be transferred, sublet, franchised or sold to any other person, nor can they be shared without written approval from the organiser prior to the day of the event.
PRODUCT DEFINITION No goods other than those described on the application form may be exhibited without the prior written approval of the organiser, and the organiser shall have the discretion to require the removal of any item not so approved.
SETTING UP AND CONCLUSION OF EVENTS Stall holders must complete their stand at least 30 minutes before the event opens. As space is of a premium at most venues, all boxes and packaging must be stored safely and clear of gangways and alleyways. The stall holder is responsible for the disposal of any rubbish. Please keep your space tidy and safe, and take all rubbish home. Bins are provided for customers only. If a stall space is left untidy and rubbish is not disposed of, future applications may not be considered. All stallholders are requested to stay for the duration of the event unless there are very exceptional circumstances. Empty stalls have a detrimental effect on other traders and failure to comply will result in exclusion from future events.
INSURANCE, CERTIFICATES AND LICENCES The stall holder is responsible for holding appropriate and up-to-date insurance. A copy of the certificate must be provided upon application. All food and drink vendors must have all health and safety and training certificates available for inspection. If alcohol is to be sold, the organiser must be informed upon application so that appropriate licences can be applied for. Any additional costs are the responsibility of the vendor.
OUTSIDE EVENTS In the event of inclement weather where overhead cover is not available, stall holders must provide their own gazebo, no larger than 3m x 3m and appropriately weighted. The organiser accepts no responsibility for damage or injury.
ELECTRICITY Electricity is available at some locations but is limited. Requests must be made on the booking form and may incur an additional charge. All electrical equipment must be PAT tested. For outdoor events, electricity is not automatically provided and traders must supply their own generator, meeting all health and safety requirements.
TABLES AND CHAIRS Tables are not automatically provided unless otherwise stated. Table hire must be requested in advance and is subject to a hire fee. Up to two chairs may be provided where available.
PARKING Where parking is available, stall holders park at their own risk. The organiser accepts no responsibility for loss, damage or accidents. Where onsite parking is unavailable, it is the stall holder’s responsibility to make suitable arrangements.
CANCELLATION BY STALLHOLDER POLICY If a stall holder cancels their space, no refunds will be given. This includes cancellations made before full payment has been completed under a direct debit arrangement. Refunds will not be issued for poor sales, adverse weather or low visitor numbers.
CANCELLATION BY ORGANISER POLICY If the organiser is required to cancel an event due to unforeseen circumstances beyond their control and the event cannot be postponed or relocated, all stallholders will be refunded in full.
TERMINATION OF EVENT POLICY In the event of termination due to force majeure, including but not limited to extreme weather, government restrictions, pandemics or other unforeseeable circumstances, neither party shall be held liable. No refunds will be issued and stallholders should refer to their own insurance provision.
