THESE TERMS AND CONDITIONS APPLY TO ALL OF OUR EVENTS.
IT IS EXTREMELY IMPORTANT THAT YOU READ, UNDERSTAND AND ACCEPT THEM ALL.
WHEN SUBMITTING A BOOKING FORM YOU ARE AGREEING TO ABIDE BY THEM, WITHOUT EXCEPTION.
BOOKING AND PAYMENT
Booking applications can only be made via our website.
Please complete all the relevant fields paying particular attention to our Terms and Conditions. You must read and accept these before we can process your application.
Successful applicants will be notified via email and must make payment in full upon receipt of invoice to secure their booking. There are no exceptions.
Payment must be made either BY bank transfer or PayPal. Details will always be included on your invoice.
We do not accept cash or payment by cheque.
The cost of a stall space varies depending on the event type and location of venue.
You will find the cost for each event on the associated booking form.
There is a charge for table hire where one is not automatically provided, and If electricity is required, and access is available, there will also be additional fee. (please see details below).
ACCEPTANCE OF APPLICATION AND CONDITIONS FOR STALL SPACE
The Event Organiser shall have the discretion to accept or refuse any application without being required to give an explanation. Successful applicants will be notified promptly and in good time via email.
The Stall holder is responsible for booking adequate stand space for his/her entire display, including access.
A pitch space measures 6ft unless otherwise stated. A floor plan will be available on the day of the event, and someone will be on hand to show you to your space.
STAND ALLOCATION
Requests for stands in specific positions will be considered sympathetically but no such request should be deemed as being binding on the organiser. Stand allocations will be made taking into account the nature of product, type of demonstration and the general layout.
Stalls cannot be transferred, sublet, franchised or sold to any other person, nor can they be shared without written approval from the Organiser prior to the day of the event.
PRODUCT DEFINITION
No goods other than those described on the application form may be exhibited without the prior written approval of the organiser and the organiser shall have the discretion to require the removal of any item not so approved.
SETTING UP AND CONCLUSION OF EVENTS
Stall holders must complete their stand at least 30 minutes before the event opens.
As space is of a premium at most of our venues, please stow all boxes and packaging away safely, clear of gangways and alleyways.
The stall holder is responsible for the disposal of any rubbish. Please keep your space tidy and safe, and take any rubbish home with you. Bins are only provided for customers. If you require additional bin bags please ask the organiser.
If a stall space is left untidy and rubbish not disposed of, we will not consider your application for future events.
All Stallholders are requested to stay for the duration of the event unless there are very exceptional circumstances. Out of courtesy for other traders please do not pack away until the close of business. Empty stalls have a detrimental effect on other Traders who have also paid to attend a full event. This is basic Stall holder etiquette and failure to comply will mean you will not be eligible to attend future events.
If an exceptional circumstances arises please speak to the organiser, who will be very happy to help.
INSURANCE, CERTIFICATES AND LICENCES
The stall holder is responsible for holding appropriate and up to date insurance. A copy of the certificate must be provided upon application to book.
All food and drink vendors must have all health & safety and training certificates available for inspection.
If you wish to sell alcohol you must inform the organiser upon application to book, so the appropriate licences can be applied for. There may be additional fees required.
OUTSIDE EVENTS
In the event of inclement weather, if overhead cover is not available, stall holders will need to provide their own gazebo. The gazebo should be no bigger than 3 x 3metres in size and appropriately weighted. The organiser will take no responsibility for any damage or injury.
Stall holders are required to inform the event organisers if they intend to bring a gazebo so appropriate space can be allocated on the site.
ELECTRICITY
Access to electricity is available at some locations, but is often limited. If you require a power point please inform the organiser on your booking form and they will endeavour to locate a stall near to a socket, if one is available. There will be an additional fee for the use of power, which will be indicated on the booking form.
All electrical equipment used by a stall holder at an event must be PAT tested and tagged.
If the event is outside, electricity will not automatically be available and vendors will need to bring their own generator. Generators must be located away from public access and meet appropriate health & safety and fire extinguisher requirements. The generator must also be as quiet as possible without annoying or disrupting fellow stallholders.
TABLES AND CHAIRS
A table is NOT automatically provided, unless otherwise stated. If you wish to hire a table, please indicate on your application form, there will be a hire fee.
In most cases, a maximum of 2 chairs will be provided although this is subject to current Covid 19 government guidelines.
PARKING
Where a car park is available, stall holders park at their own risk. The organiser will not accept responsibility for any losses, damages or accidents.
Where parking is not available onsite for the duration of the event, it is the stallholders responsibility to find suitable provision prior to arrival on the day of the event.
The organiser will endeavour to provide links to car parking facilities for each venue and these will be available to access on the website at the time of booking.
CANCELLATION BY STALLHOLDER POLICY
If a stall holder wishes to cancel their space at an event, unfortunately a refund will not be given.
Retrospective refunds will also not be given to the stallholder for poor sales, bad weather or any other event that the organiser has no control over including low visitor numbers.
CANCELLATION BY ORGANISER POLICY
If the Organiser needs to cancel the event due to an unexpected issue out of their control, for example, an unexpected health or family emergency or similar, when the event cannot be transferred to another venue or postponed to another date, then all Stallholders will be reimbursed in full.
TERMINATION OF EVENT POLICY
The termination of an event pertains to cancellation due to unforeseeable events/circumstances that are beyond either the Organiser or Stallholders control.
This may include, for example a weather related incident, a government shutdown, a pandemic or undefined disaster.
This termination policy states that neither party can be held liable.
In this instance the organiser will not be responsible for refunds.
Stallholders will need to refer to their own insurance provision and details.
